Ideally within one hour of the meeting ending. Research shows that prompt follow-ups are perceived as more genuine and have higher response rates. If you can't send within the hour, aim for the same business day at minimum. The longer you wait, the less impact your note will have — and the harder it becomes to recall specific details from the conversation.

Avoid generic messages — the more specific you are about what was discussed, the more memorable and impactful your note will be.
